To create an audience set on Heyo WhatsApp, follow these steps:
Prepare Your Contact List - Collect the audience names and phone numbers in an Excel sheet. Ensure that the file is formatted according to Heyo's specifications.
Upload Your File - Go to the Heyo Phone App and navigate to the campaign creation section. There, you’ll find the option to upload your audience details. Upload the Excel file or CSV with up to 1000 contact details at a time.
Formatting Instructions - Refer to the formatting instructions provided in the Heyo Phone App to ensure your file meets the necessary requirements.
Once uploaded, your audience set will be ready for selection when setting up a campaign.
To check your daily quota of messages in the Heyo Phone App, go to the campaign creation section. After tapping on ""Create Campaign,"" you will see your daily available quota of messages displayed below the campaign's name. This quota is automatically assigned by WhatsApp to your account and can increase over time if you maintain good messaging practices and avoid spamming your audience.
You can edit the campaign’s name in the Heyo Phone App. When setting up a new campaign, the campaign’s name is displayed at the top of the screen. You can easily change it by tapping on the name and entering your desired title before proceeding with the rest of the campaign setup.
To set up and run a bulk WhatsApp campaign in the Heyo Phone App, start by navigating to the settings menu and tapping on “Campaigns & Templates.” Then, select “Campaigns” to view a list of your existing campaigns along with their current status. To create a new campaign, tap on “Create Campaign.” You can edit the campaign's name displayed at the top if needed. Below the name, you will see your daily message quota, which is assigned by WhatsApp and increases over time, provided no spam messages are sent. Next, select a message template for your campaign, you can choose from pre-approved templates or create your own by using the option in the top right corner. After selecting the template, you need to choose your audience. For this, gather your audience’s names and phone numbers in an Excel sheet and upload it as a CSV file in the Heyo app. Up to 1,000 contacts can be uploaded at a time, and specific formatting instructions are available within the app. Once your audience is set, you can choose to start the campaign immediately or schedule it for a later time. In the Message Template section of the settings menu, you'll find a list of pre-approved templates provided by Heyo. To create your own WhatsApp message template, tap the "Create Template" button at the bottom of the screen, then give your template a name and select its language before tapping "Continue." Type your desired message in the box at the bottom, and you can preview it on the screen. By tapping the Paper Clip icon, you can add images, videos, or documents to your message. You can also include a footer, which is the text shown at the bottom of your message, and add interactive buttons that helps with customer engagement. Choose from three button options, namely, website, phone number, and quick reply buttons. If you select multiple buttons, then the website button always appears on top, followed by the others. These buttons make it easier for customers to respond quickly, turning simple messages into interactive and engaging conversations.
Heyo WhatsApp provides a list of 4 pre-approved message templates in the Message Template section of the settings menu. You can view them directly within the app when accessing this section. If you need more options, you can also create your own custom templates by tapping the Create Template button.

How to Edit the Footer on Heyo WhatsApp:

If the greeting message on Heyo is pronouncing your business name incorrectly, you can fix this by customizing the message.
Open the Heyo Phone App and go to Settings. Tap on ‘Call & Staff’ and select ‘Play Welcome Message.’ Type the text you want to use for your greeting and preview it by tapping the ‘Speaker’ icon.

If you're having trouble hearing the greeting message, follow these steps:

To change the incoming call distribution order in Heyo Phone, follow these steps - Open the Heyo Phone App and go to Settings. Tap on ‘Call & Staff’ and select ‘Manage Staff.’ From this section, you can add or remove staff and manage call distribution methods.
Choose between the Sequential and Uniform methods. In the Sequential method, you can set the specific order in which calls are passed from one staff member to another. In the Uniform method, calls are automatically distributed among available staff members or the admin.

Adding staff to your Heyo Phone number is a very simple process. Follow the quick steps below:
1. Open your Heyo Phone App.
2. Tap on the Settings button.
3. Tap on the ‘Call & Staff’ button.
4. Next, tap on ‘Take A Look’ and proceed.
5. You will get 2 options, namely - Play Welcome Message & Manage Staff.
6. Click on the Manage Staff button.
7. Then tap on the ‘Invite Staff’ button.
8. Select the contact number of the staff you want to add.
9. Then tap on the ‘Add (Selected)’ button to proceed.
10.Your staff will get the invite via WhatsApp and can join in the same Heyo Business Number in order to manage calls better.
To customize your greeting message or business caller tune with Heyo Phone, follow these steps - Open the Heyo Phone App and go to Settings. Tap on ‘Call & Staff,’ where you will find options for ‘Play Welcome Message’ and ‘Manage Staff.’ Select ‘Play Welcome Message’ and enter the text you want for your customized message.
You can preview it by tapping the ‘Speaker’ icon and then finalize it by tapping ‘Update.’ This allows you to set a personalized caller tune, creating a unique brand identity and ensuring professional customer greetings.
You can also use this feature to broadcast offers or set messages for after-hours to inform customers when you’re unavailable.
If you can't see the caller's phone number or name during an incoming call on your Heyo number, follow these steps to receive a notification before answering:
1. Go to 'Settings' in the Heyo App.
2. Click on 'Identify Caller on Incoming Calls.'
3. Click on the 'Go to phone settings' button.
4. Scroll down, find 'Heyo,' and click on the 'Enable' button to allow Heyo notifications to appear over other apps.
Now, all incoming calls on your Heyo number will come with a notification displaying the caller's number and name (if the number is saved in your contact list).
Live Call Transfer is available for incoming calls on your Heyo number. You need to follow these steps:
1. When you have an active incoming call, press '*2' on your phone dialer.
2. You will hear the word ""transfer.""
3. Type the extension number of the staff member you want to transfer the call to (e.g., '11' or '12').
No, you cannot change your registered phone number directly.
If Heyo becomes active in your city and you wish to switch to a local number, you will need to delete your current account and create a new one.
Note that you can create up to 3 accounts in total.
You can download call recordings from the Heyo Phone App.
Simply go to the ‘Call Logs’ section, press and hold the call log you wish to download, and a pop-up will appear with the download option.
This allows you to keep any recordings you want beyond the standard storage period.
You can manage your call recordings with Heyo Phone. While recordings are stored for up to 6 months and automatically deleted afterward, you have the option to download them within the Heyo Phone App.
To keep a recording longer, simply press and hold the call log you want to download.
Additionally, the admin can control access to call recordings and call log by hiding/unhiding them from staff members to ensure customer privacy.
This feature allows you to maintain control over which recordings/calls are visible to your team.
You can access your call recordings for up to 6 months. After this period, Heyo Phone automatically deletes them.
To manage your recordings, you can view them all in the ‘Call Logs’ section of the Heyo Phone App.
If you want to keep a recording, simply press and hold the call log you wish to download, and a pop-up will appear with a download option.
All staff members cannot receive an incoming call simultaneously. Heyo Phone uses an Automatic Call Distribution (ACD) feature to manage how calls are routed.
The staff members can recieve the calls one after the other depending upon the call distribution type selected by the Admin. They can choose between two methods - Sequential Distribution, where calls are routed to staff members in a specific order until answered, and Uniform Distribution, where calls are evenly distributed among available staff members.
This setup helps to handle calls efficiently based on the team’s availability and workload.
You will definitely need the SIM of the registered number in the phone where Heyo is installed to make calls.
This SIM must have an active calling balance for both outgoing and incoming calls to work properly.
There is no limit on the number of incoming or outgoing calls you can make or receive using your Heyo number.
You can enjoy unlimited calls without any restrictions.

With Heyo you can Transfer live business calls.
All you need to do is, follow these steps:
(1) Press, 'star' and 'two', ' *2 ' on the phone dialer when the call is active.
(2) When you hear the word, 'transfer', type the extension number of the staff member you want to transfer the call to (eg: '11' or '12').
Heyo Phone automatically includes a voicemail feature for call forwarding. When an incoming call goes unanswered, the caller is directed to leave a voicemail. To manage these voicemails, open the Heyo Phone App and navigate to the 'Call Logs' section, where all incoming, outgoing, and missed calls are displayed. Missed calls, marked with red arrows, indicate that the caller has been prompted to leave a voicemail. Tap on the 'Play Voicemail' button to listen to the recorded messages. To make sure you respond quickly, keep notifications enabled for missed call alerts, especially outside of regular business hours. This automated call forwarding feature improves customer service by maintaining connectivity and responsiveness even when direct communication isn't possible.
Heyo Phone itself comes with all the privacy regulations.
There is no need to select seperate settings for this. However if you are an Admin and want to hide some of the calls from your staff, you can do this by hiding those numbers specifically:
Step 1:- Go to Heyo App Call Logs.
Step 2:- Long Press on the number you want to hide from your customers.
Step 3:- You can select option Hide Call over there.
This is how you can hide calls from your team.
You can simply access those numbers by going to Hidden Calls option at the top in call logs.
It is not possible to download the call logs in Heyo Phone app.
As it is against the security concerns and inorder to recude the data breach risk. Call logs cannot be downloaded in bulk on Heyo App.
Currently, our platform does not support bulk export of call logs, so that all data management is conducted securely within the app. This limitation is in place to maintain data integrity and security, but rest assured, the Heyo development team is continuously working on upgrading the features to provide more effective data management solutions in the future.
However, you can download call recording of each individual seperatly and listen to the conversations.
You cannot set business hours for your Heyo WhatsApp Business account.
Call logs cannot be deleted when using WABA integrated through HEYO.
The HEYO mobile app gives you certain control over your call logs, helping you to manage them by allowing the Admin or the Owner to hide/unhide calls from their added staff members.
There are no automated replies capability right now on HEYO Phone. Once a user interacts with an automated message, the chat box opens, allowing for further interaction.
When a conversation starts, you can send unlimited messages for 24 hours. Additionally, each WABA account receives the first 1000 incoming conversations free of charge every month from Heyo.
After integrating WhatsApp Business with HEYO Phone, you can send template messages to initiate sales or conversions and improve your customer interactions.
